The Vacation Donation Program allows employees to donate unused vacation time to another employee who has experienced a serious hardship or catastrophic event.
A serious hardship or catastrophic situation is defined as an illness or injury that poses a threat to life and/or requires significant rehabilitation, inpatient, hospice or residential health care; or as a catastrophic environmental event (e.g., fires, hurricanes, earthquakes, fires, floods, other disasters). The employee's need may arise from his or her own serious hardship or catastrophic illness, or from his or her need to care for a family member, including a spouse, child or parent, who has a serious hardship or catastrophic illness.
For employees who are requesting vacation donations - A written request (CACI Form 339) must be completed by the employee (or by the manager on behalf of the employee in need) to request approval. When the donation is approved employees requesting donated time may communicate their need to their manager and to their peers.
With the approval of the employee who is requesting the donated time, managers may provide general information about the employee's request in employee meetings. Employees and managers are prohibited from soliciting or encouraging individual employees to donate leave.
For employees who want to donate vacation time - Employees who would like to donate leave to an employee who has been approved to receive a donation may also make a written request to do so (CACI Form 338). The minimum donation amount required is $30 and should be stated in the form of a dollar amount.
When a vacation donation is approved the donated leave is converted into hours at the recipient's pay rate by Human Resources. The value is moved from the donor's balance to the recipient's leave account. The donor will see a reduction in his or her vacation or PTO balance. There are no tax consequences for the donation itself.
Send completed forms to ESmail@caci.com along with a completed Physician's Statement Form (if required).
Direct questions and concerns to Emily Ernst, eernst@caci.com, 703-841-3020.
The decision to request or donate leave is a personal one and must be made voluntarily. Also note that SCA employees are eligible to receive donated hours, but are not eligible to make donations.
