Efficient Document Declassification

Declassification converts classified holdings to electronic format, supports online review/redaction and provides document management throughout a record's lifecycle with the following key functions

  • Document Checkin and Checkout - Provides accurate receive/return, inventory, accountability and reconciliation for record conversion, tracks and locates documents using barcode technology and ensures physical integrity of documents
  • Capture, Quality Control (QC) and Rework - Captures paper, microfiche, microfilm and digitized media; enhances images; inspects for correct alignment, image quality, readability, clarity and resolution; and routes unacceptable items for rework
  • Index and Index QC - Records document specific information, dates, keywords, classifications and abstracts and ensures information is accurate and complete
  • Automated Processes - Includes image enhancement, optical character recognition (OCR), full text indexing and duplicate document detection
  • Workflow Management - Enables monitoring/adjusting workflow, identifying need for more resources and/or manual intervention and rerouting of items in the queue
  • Duplicate Resolution - Identifies documents for potential duplication, removes duplicates to prevent multiple record releases and uses near duplicates for reference to ensure declassification consistency
  • Redaction and Redaction QC - Electronically redacts any part of an image, annotates reasons for redaction and enables reviewers to coordinate and reconcile redactions from multiple reviewers
  • Government Review and Seal and Release - Forwards records to government reviewer to make changes, route for further review or seal and release and burns in redactions, applies electronic signature and saves record to the declassified database
  • Declassified Database - Contains declassified images and index information for search and retrieval
